Parish Administrator

Position to begin in September 2024


The position of Parish Administrator at St. Stephen’s Episcopal Church is a part-time position of 16 to 20 hours per week, with office hours of Monday through Thursday from 9:00am to 1:00pm. Availability on Sunday mornings is preferable but not required for the position. Compensation starts at $20/hour.

 

The Parish Administrator will be responsible for managing the office of the congregation, working to support the ministries of the Rector, Deacons, and Vestry, and being the main point of contact for coordinating events, activities, and records for parishioners, outside groups which hold meetings at St. Stephen’s, and vendors.

Qualifications

This position requires experience in office management and administrative support, preferably 2+ years. Applicants must be willing to work in a collaborative environment and demonstrate the ability to maintain a professional, welcoming, and inclusive environment through interactions with staff, parishioners, and visitors. It is important that candidates for this position have the follow qualities:

  • A willingness to be both self-motivated and collaborative
  • An ability to remain organized and on task while also navigating the unexpected interruptions that come with parish ministry
  • An excellent understanding of timely communication via phone calls, emails, and other media


Specific Duties

  • Organizing the communication of the congregation via phone reception, email correspondence
  • Attend regular meetings with the Rector, Deacons, and staff to coordinate ministry
  • Produce bulletins, newsletters, and social media material in coordination with the Rector
  • Monitor building maintenance, contacting appropriate vendors when necessary
  • Coordinate parish calendar and room reservations for parishioners, ministry events, and outside groups
  • Maintain parish database (Realm), coordinating with bookkeeper and treasurer when necessary
  • Mail weekly packages to homebound members
  • Organize invoices, checks, and online payments of bills in coordination with the bookkeeper


Knowledge, Skills, and Abilities

  • Thorough understanding of the organization of an office setting
  • Proficiency in Microsoft Office, Google Workplace, Canva, and Realm
  • Ability to update parish website and social media when necessary
  • Multitasking and completing tasks with deadlines
  • Has knowledge of Episcopal worship, polity, and theology, or the willingness to learn
